Turning utility bills and meter data into a portfolio view

Utility data arrives as PDFs, portal exports and meter files in different formats and calendars. Getting from that to a portfolio you can actually manage is mostly a data problem. Here is the path.


Most organizations know roughly what they spend on energy. Far fewer can answer, on any given day, which sites are drifting, which bills look wrong, and where the next reduction will come from. The gap is almost always data that is trapped in formats no one has reconciled.

The three data problems

1. Extraction

Bills arrive as PDFs and portal downloads with different layouts per utility. Pulling every field, account, meter, period, usage and charge, reliably across layouts is the first hurdle.

2. Standardization

Once extracted, units, billing periods and meter identifiers have to be normalized so a hundred sites line up. The standardized Green Button format helps where utilities support it, but a real portfolio mixes Green Button, interval exports and bills.

3. Reconciliation

The same meter can appear in a bill and an interval feed with slightly different totals. Reconciling them, and flagging what does not agree, is what turns raw records into numbers you can trust.

With bills and interval data reconciled, benchmarking, anomaly detection and reporting stop being projects and become views you open.

From records to decisions

Once the data is clean, the portfolio view follows: usage and cost per site, outliers that need attention, and the trend lines that tell you whether a measure is working.
